Job Description

Part-timers & Freelancers are welcomed to apply this Full time position
Responsible for processing full spectrum of all local sales orders/contracts / invoices / delivery orders etc.
Coordinating daily local sales deliveries between logistics team and delivery drivers to ensure efficient and smooth process
Preparing purchase and sales contracts and related import/export documents, coordination with warehouse personnel, transportation companies, freight forwarders and customers for overseas orders
Handling queries and complaints via phone, email and general correspondence
Greeting all visitors
Transferring calls as necessary
Possibly managing office supplies such as stationery, equipment and furniture
Performing ad-hoc administration duties
Maintaining office services as required (such as cleaners and maintenance companies)
Updating cleaning schedules for cleaners
Receiving and dispatching deliveries
Keep track of staff birthdays, buy birthday vouchers, arrange for monthly birthday cakes on appropriate day and time
Preparation of Ageing Report every month
Preparation and submission of SOA to customers every month
Keep track of staff birthdays, buy birthday vouchers, arrange for monthly birthday cakes on appropriate day and time
Assisting on company’s gatherings, catering and other necessary arrangements
Maintaining pallet record movement and ordering of pallets when necessary
Assisting on Accounts Payable matters
Other duties include the management of warehouse inventory / picking, customer assistance with shipment inquiries and inventory management
Inventory count, reconciliation, reports and adjustments
Determining causes of discrepancies
Entering physical stock adjustments into ERP system including, shrinkage/disposals, other discrepancies
Processing of export shipping orders and contracts in the absence of a colleague.
Ensure accuracy in choosing products, pricing and invoicing.
Arranging for AVA inspection for export shipments and collection of phytosanitary certificates.
Despatch export shipping documents to customers and to ensure that customers receive the document on time for clearance.
Proper filing of contracts, supporting documents upon completion of each export shipments.
Other ad-hoc duties as and when assigned.
Job Requirement
Candidate must possess at least Diploma/Advanced/Higher/Graduate Diploma or Bachelor's Degree/Post Graduate Diploma/Professional Degree
Must be proficient in MS Office
Prior logistics experience and in-depth experience working with Microsoft NAV ERP strongly preferred
Prior customer service/sales experience preferred
Excellent organizational and planning skills
Excellent knowledge of data analysis and forecasting methods
Excellent problem-solving skills
Must be good in English
/ SPR Preferred
Able to start immediately or within short notice preferred.
Working Hours: Monday to Friday (9am - 5.30pm) and alternate Saturdays (9am -12.45pm)
